Job Summary:
As an Assistant Administrative Officer, you will provide essential support to our administrative department, ensuring smooth and efficient daily operations. Your role will involve a range of administrative tasks, including document management, correspondence handling, scheduling, and general office support. The ideal candidate will be a proactive and resourceful professional who thrives in a fast-paced environment.
Responsibilities:
- Assist in managing day-to-day administrative operations, ensuring efficient office functioning.
- Maintain accurate and up-to-date records, including filing, scanning, and organizing documents.
- Handle incoming and outgoing correspondence, emails, and calls, redirecting them as appropriate.
- Coordinate and schedule meetings, appointments, and travel arrangements for team members.
- Prepare reports, presentations, and other documents as requested.
- Assist with financial administration, such as processing expenses and maintaining budget records.
- Support HR functions, including onboarding new employees and maintaining employee records.
- Monitor office supplies inventory and place orders when necessary.
- Collaborate with colleagues to ensure effective cross-departmental communication and coordination.
- Provide general administrative support, such as, data entry, and other ad-hoc tasks.
Requirements:
- Should be an NYSC Corps member just commencing the National youth service.
- Bachelor’s degree in Business Administration or a related field (or equivalent experience).
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail, ensuring accuracy in all administrative duties.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional verbal and written communication skills.
- Ability to work independently and collaboratively as part of a team.
- High level of professionalism, integrity, and confidentiality.
- Flexibility and adaptability to handle multiple tasks and meet deadlines.
- Strong problem-solving and decision-making skills.
